Customer Service Representative

Permanent Contract – Based in Hyderabad – Telangana

 

As a Customer Service Representative, you will be the first point of contact for customers, managing customer orders from order entry to invoicing for the Indian market You will play a key role in ensuring a smooth customer experience by coordinating closely with Sales, Finance, Logistics and external transport providers, in the context of an ERP implementation (Oracle).

Key Responsibilities:

 

Customer & Order Management

·         Manage customer orders, returns, and exchanges from order entry through invoicing

·         Ensure follow‑up of customer emails within 24 hours via shared mailboxes (per assigned customer scope)

·         Handle customer documentation, including export documents and specific certificates

·         Manage letters of credit (LCs) for assigned customers, in coordination with Finance and in line with ERP processes

·         Issue customer invoices and credit notes

·         Contribute to credit and collection activities in coordination with Finance and Sales teams, including customer follow‑up, dispute clarification and documentation

·         Register customer complaints, coordinate with Sales teams, and follow up on corrective actions

·         Provide accurate and up‑to‑date information on products and services

·         Escalate issues when needed and ensure proper documentation and archiving

 

Transport & Logistics Coordination

·         Request and compare transport quotations (road, sea, air)

·         Organize and manage shipments with logistics and transport providers

·         Calculate and validate shipping costs to be invoiced

·         Manage consignment stock for assigned customers

·         Validate orders to be prepared by logistics service providers

·         Book transport and validate outbound shipments in the ERP system

 

Profile

The ideal candidate has a minimum of 4–5 years’ continuous experience in a Customer Service or Order‑to‑Cash role, with solid exposure to end‑to‑end order management and invoicing processes. Prior experience in an ERP environment is required, ideally with Oracle, SAP, Tally or other local ERP systems. Training on Oracle ERP will be provided as part of the onboarding.

They are proficient with Microsoft Office tools, particularly Excel and Outlook, and fluent in written and spoken English. The role requires a strong customer‑oriented mindset, a high level of administrative accuracy and attention to detail, as well as strong organizational and follow‑up skills. The ability to collaborate efficiently with cross‑functional teams in a structured and fast‑evolving environment is essential for success in this position.
